📋 Project Management - User Guide

Manage your projects and files effortlessly through natural conversation

🏠 Feature Overview

Project Management is a tool that lets you manage projects through conversation. No forms to fill out, no pages to switch between — simply tell the assistant what you need, and the system handles the rest.

  • 🆕 Create Project — Start a new project and set up workflows in a single sentence
  • 📋 Project List — View all your projects at a glance
  • 📝 Content Updates — Add or modify project content anytime during the conversation
  • 📎 File Upload — Upload documents and images; the system automatically parses and links them to projects
  • 🔍 File Search — Find project files by keyword or type
  • 📄 Generate Reports — Compile all project content into a clear, structured report with one click

1️⃣ Creating a Project

When you start a new task, simply tell the assistant what you want to do. The assistant will guide you through project creation.

  1. Describe your idea
For example: "Create a material testing project for me" or "I want to start a new project"
  2. Answer the assistant's questions
The assistant will ask about the project name, goals, main workflows, etc. Just describe it in natural language.
  3. Confirm creation
The assistant will summarize what you've provided. Once confirmed, the project is created and you'll receive a project ID (e.g. P-2026-001).
💡 Tip: Project IDs are auto-generated in the format P-YYYY-NNN, e.g. P-2026-001. You can also use a custom ID.

Example conversation:

You: Create a new material R&D project for me

Assistant: Sure! What are the main workflows? For example: formulation design, sample preparation, performance testing, data analysis, etc.

You: Formulation design, mixing process, vulcanization molding, performance testing, results analysis

Assistant: Got it! Let me confirm:
- Project Name: New Material R&D
- Workflows: Formulation Design → Mixing → Vulcanization → Performance Testing → Results Analysis
Create this project?

You: Confirm

Assistant: ✅ Project created! Project ID: P-2026-001
The project content has been initialized with the workflow outline. You can now start uploading files and recording progress.

2️⃣ Project Overview & Structure

Each project is organized into the following clearly structured sections:

SectionDescription
📋 Project OverviewBasic info: ID, name, description, goals
📋 Project PlanTimeline and progress by phase
📝 Project ContentCore content organized by workflow nodes
📂 File ReferencesAll files and materials linked to the project
📋 Project LogChronological operation history

3️⃣ Viewing & Switching Projects

Access project information anytime:

  • View all projects
Say "Show my projects" or "What projects do I have?" and the assistant will list all your projects.
  • View project details
Mention the project ID or name, e.g. "Open P-2026-001" or "Show me the material testing project". The assistant will display the full project content.

Example conversation:

You: What projects do I have?

Assistant: You currently have the following projects:
1. P-2026-001 - New Material R&D - Created 2026-05-15
2. P-2026-002 - Production Line Upgrade - Created 2026-05-20

4️⃣ Uploading Files & Materials

Upload documents, reports, images and link them to specific projects. The system automatically parses file contents.

  1. Upload files
Upload files in the conversation (supports PDF, Word, Excel, PPT, images, and more).
  2. Link to a project
Tell the assistant which project to associate the file with, e.g. "Put this report into P-2026-001".
  3. Auto parsing
The system automatically reads file content, extracts key information, and categorizes it under the corresponding workflow node.
  4. Review results
The assistant confirms the file has been saved and shows the key information extracted.
Supported FormatType
PDFDocument
DOC / DOCXWord Document
XLS / XLSXExcel Spreadsheet
PPT / PPTXPowerPoint Presentation
JPG / PNG / BMP / WEBPImage (with OCR text recognition)
TXT / MD / CSVText File
💡 Tip: Images undergo automatic OCR recognition, so text within images can also be extracted.

5️⃣ Updating Project Content

During a project, you can add or modify content at any time. All updates use a preview-then-confirm mechanism to prevent accidental changes.

  1. Describe what to update
For example: "Add the latest test results to the formulation design section" or "Mark phase 2 of the project plan as completed".
  2. Preview & confirm
The assistant shows a preview of the updated content. It's only written after your confirmation.
  3. Update complete
Once confirmed, the system applies the update and notifies you of success.
You: Add to the Performance Testing section: 2026-05-25 completed tensile strength test, sample A3 reached 25 MPa.

Assistant: Here's the update preview:
### Performance Testing
2026-05-25: Completed tensile strength test, sample A3 reached 25 MPa.

Confirm this update?

You: Confirm

Assistant: ✅ Content updated successfully!

6️⃣ Finding Project Files

When your project files grow, you can search quickly:

  • Search by keyword
For example: "Find files containing 'test report' in P-2026-001"
  • Filter by type
For example: "List all PDF files in the project" or "Show me the images"

7️⃣ Generating Project Reports

When your project reaches a milestone or needs to be presented to others, you can generate a clean, structured project report at any time.

  1. Request a report
Say "Generate a project report" or "Export the report for P-2026-001".
  2. Get the compiled report
The system automatically aggregates the project overview, plan, content, and file list — stripping empty sections and redundant logs to produce a concise report.
💡 Tip: Generated reports don't modify the original project data, so you can safely review and share them.

🧭 Common Use Cases

Case 1: Starting a new project from scratch

You: Create a new project called "Rubber Formulation Optimization". Workflows: raw material screening, formulation design, sample trial, performance testing, process scale-up.

Assistant: Confirmed: Project "Rubber Formulation Optimization", workflow outline set. Create this project?

You: Confirm

Assistant: ✅ Project P-2026-003 created! Content initialized with workflows. You can start uploading materials now.

Case 2: Uploading materials and logging progress

You: I uploaded a raw material inspection form. Please put it in P-2026-003.

Assistant: File content read. File saved successfully.
Key information extracted:
- Material batch: R-2026-042
- Inspection items: Mooney viscosity, ash content
- Results: All passed
This information has been added to the "Raw Material Screening" section.

Case 3: Generating a summary report

You: Generate a project report for P-2026-003.

Assistant: Here's the project report:
